This guide converts a typical examiner’s list of criticisms into a proactive, self-administered checklist. Rather than waiting for an external reviewer to flag weaknesses, doctoral candidates should apply these indicators at each drafting stage, proposal, mid-candidature review, and final submission, to test whether their text meets the standard a rigorous examiner would expect.
Each section below states (a) the quality criterion, (b) indicators that demonstrate it has been met, and (c) a self-check question. Use the checklist as a diagnostic instrument, not a rulebook: the goal is coherence and defensibility, not mechanical compliance.
Content and Structure of the PhD Thesis
A PhD thesis follows a logical architecture that guides the reader from context to contribution and back to significance. While every university uses institution-specific templates, the structure below reflects common conventions across leading institutions (Oxford, Cambridge, Harvard, Stanford, MIT) and aligns with accepted international doctoral standards.
The thesis opens with preliminary matter, title page, abstract, acknowledgements, table of contents, and glossary, which orients the reader and enables a rapid assessment of the work’s relevance. The abstract (250–350 words) is critical, as it is frequently indexed independently in research databases and must stand alone as a concise, accurate summary.
The main body progresses through five core movements: establishing the research problem and objectives; reviewing existing knowledge to identify the gap being addressed; explaining and justifying the methodology; presenting and analysing findings; and discussing implications, limitations, and recommendations. Each chapter should open with a brief orientation and close with a transition or summary linking back to the overarching aim.
The conclusion synthesises findings against the original aim and objectives, while a reflection section (increasingly expected in professional and practice-based doctorates) evaluates the candidate’s methodological and personal development.
Finally, back matter, references, bibliography, and appendices must be clearly separated and appropriately labelled, ensuring that examiners can independently verify citation integrity, background reading, and supporting evidence. This structural discipline supports coherence, examiner navigation, and alignment with international doctoral examination standards (e.g., UK QAA, US Council of Graduate Schools, European Bologna framework).

Methodological Self-Assessment Guide
1. Structural and Presentational Standards
Criterion: The document follows a logically numbered, internally consistent structure appropriate to the discipline and institution.
Indicators:
• Chapter and section numbering is consistent throughout (no gaps, no duplicated numbers) and cross-references resolve correctly,
• The Introduction and Conclusion are treated as framing chapters and are not assigned a numbered chapter heading, consistent with most university style guides,
• Tables, figures, and appendices are numbered sequentially and captioned, with a corresponding List of Tables/Figures, and
• Referencing style is applied consistently (a single system, APA, Harvard, Chicago, etc. throughout, including in-text citations and the reference list).
Self-check: If an examiner opened the table of contents alone, would the logical architecture of the argument already be visible?
2. The Research Problem
Criterion: The problem is defined as a genuine, evidenced gap in existing knowledge, not merely a topic of interest.
Indicators:
• A single, precisely worded problem statement appears early in Chapter 1, distinguishable from the broader topic description,
• The problem is linked explicitly to a documented gap, contradiction, or deficiency in the literature, not asserted without evidentiary support,
• The scope of the research problem is bounded (time, geography, population, or conceptual limits are stated), and
• The problem statement is written so that a reader unfamiliar with the field can identify exactly what is unknown and why it matters.
Self-check: Could I state, in one sentence, what specific gap in knowledge this dissertation closes?
3. Research Aims, Objectives, and Questions
Criterion: Aims, objectives, and questions form a coherent, internally consistent hierarchy that is traceable through the rest of the thesis.
Indicators:
• The overarching aim is a single statement; objectives are specific, achievable sub-goals that operationalise the aim; research questions are answerable through the chosen methodology,
• Every key variable or construct named in a research question is operationally defined (measurable, observable, or clearly conceptualised) before it is used in data collection instruments; this is especially critical in quantitative or mixed-methods studies, and
• Each research question can be traced forward to a corresponding section of the literature review, a specific data-collection instrument item, an analytic procedure, and a results sub-section.
Self-check: For each research question, can I point to the exact page where it is answered with evidence, and the exact instrument item(s) that generated that evidence?
4. Literature Review
Criterion: The review is a critical synthesis that establishes the study’s theoretical rationale, not a descriptive summary.
Indicators:
• Key terms, concepts, and theories are defined with reference to primary, peer-reviewed sources,
• The review model used (e.g., narrative, systematic, integrative, scoping) is named and justified,
• The review closes with an explicit statement of the gap the present study addresses, directly linking back to the problem statement in Chapter 1, and
• Sources are current and authoritative for the methodology adopted; if a specific method (e.g., survey research) is central to the study, the review should engage with the methodological literature on that method, not only the substantive/topical literature.
Self-check: Does the final paragraph of the literature review lead naturally into “therefore, this study will…”?
5. Research Methodology
Criterion: The methodological design is justified, internally consistent, and sufficiently detailed for replication or audit.
Indicators:
• The research paradigm/philosophy (e.g., positivist, interpretivist, pragmatist) and design (e.g., “research onion”) are stated and justified relative to the research questions, not merely described in the abstract,
• Where a survey method is used, the specific survey type (cross-sectional, longitudinal, panel) is named, and the methodological literature on survey design (e.g., total survey error frameworks) is engaged with; not only the substantive topic literature,
• Sampling: the target population and sampling frame are explicitly defined; the sampling strategy (probability or non-probability) is justified; if a convenience or non-probability sample is used, the text acknowledges the resulting limits on statistical inference and generalisability, and the sample-size rationale (or calculation) is reported,
• Data collection: potential sources of error, coverage, sampling, nonresponse, and measurement error (per the Total Survey Error framework) are addressed, even briefly, so a reader can judge data quality, and
• Instrument items are mapped to research questions (an instrument-to-question matrix in an appendix is strong practice).
Self-check: Would a competent researcher in another institution be able to reconstruct my data collection procedure from this chapter alone?
6. Data Analysis
Criterion: Analytic procedures are explicitly and demonstrably aligned with the research questions.
Indicators – Quantitative:
• Each statistical test used (e.g., Mann-Whitney U, Chi-square, Kruskal-Wallis) is linked explicitly to the research question or hypothesis it addresses, using the same variable labels defined in Chapter 1, not substitute or proxy variables introduced without explanation,
• Assumptions of each test are checked and reported (e.g., distribution, sample independence), and
• Effect sizes and confidence intervals are reported alongside significance values, in line with current APA/AERA reporting standards, avoiding reliance on p-values alone.
Indicators – Qualitative:
• If a named analytic method is used (e.g., framework analysis, thematic analysis, grounded theory), the procedural steps followed are described in the method chapter, referencing the originating methodological source,
• Coding/indexing procedures and any data displays (matrices, charts, thematic maps) are shown or at least described, so the analytic process is auditable, and
• Reflexivity and researcher positionality are addressed where relevant to the paradigm.
Self-check: If I strip out the variable names from my results chapter, would a reader still recognise which research question each analysis answers?
7. Findings, Results, and Interpretation
Criterion: Results are reported factually and separately from interpretation, and both are explicitly tied back to the research questions and objectives.
Indicators:
• Each research question has a clearly identifiable point in the findings chapter where it is answered directly, ideally with a signposting sentence (“In answer to RQ2…”),
• Descriptive statistics/data overview precede inferential analysis,
• Interpretation is grounded in the reported data, not asserted independently of it,
• Findings are compared explicitly with prior studies identified in the literature review (confirming, extending, or contradicting them),
• The generalisability (“external validity”) of findings is discussed candidly, particularly where non-probability sampling was used, and
• Limitations of the study are stated specifically (methodological, sampling, contextual) rather than generically.
Self-check: Does the results chapter answer the research questions, or does it merely present statistically significant relationships that are adjacent to them?
8. Conclusions and Recommendations
Criterion: Conclusions are precise, evidenced, and proportionate to the strength of the findings; recommendations are actionable and clearly derived from the study.
Indicators:
• Each conclusion is traceable to a specific finding reported earlier; no new claims are introduced in the conclusion that were not evidenced in the findings chapter,
• Conclusions explicitly answer the stated research questions and objectives, using consistent terminology,
• Recommendations are differentiated by audience (policy, practice, future research) and are specific enough to be actionable, not generic calls for “further study”, and
• Methodological limitations are acknowledged, and their implications for the conclusions’ scope are discussed.
Self-check: If I read only my research questions and my conclusion side by side, does every question receive a direct, evidenced answer?
9. Organisation of Reference List and Bibliography
Criterion: Maintaining separate reference and bibliography lists is a fundamental discipline of doctoral scholarship. A reference list contains only sources explicitly cited within the text, every entry corresponds to an in-text citation, and every citation has a matching entry. A bibliography, by contrast, includes all works consulted during research, whether directly cited or not, reflecting the broader scope of the candidate’s engagement with the literature. Separating these lists matters because it preserves academic transparency: examiners can verify citation accuracy against the reference list, while the bibliography demonstrates the depth and rigour of the researcher’s investigative process. Conflating the two undermines traceability and violates disciplinary citation standards (APA, MLA, Chicago).
Indicators:
• A distinct, correctly labelled reference list is included, containing only in-text cited sources,
• Every in-text citation has a corresponding entry in the reference list, with no omissions,
• A separate bibliography (where required) lists all consulted works, including uncited background sources,
• Citation style (Harvard referencing, APA, MLA, Chicago, etc.) is applied consistently across the whole PhD thesis and in both lists.
• No duplication errors, missing entries, or mismatched citations exist between text and lists, and
• Formatting (alphabetisation, hanging indents, punctuation) follows the required style guide precisely.
Self-Check: Cross-check every in-text citation against the reference list to confirm no omissions or mismatches. Verify the bibliography (if required) includes all consulted works, cited or not. Confirm consistent citation style throughout. Check formatting, alphabetisation, and indentation against the style guide. Ensure lists remain clearly separated and correctly labelled.
10. Organisation of Annexes/Appendices
Criterion: Annexes must be organised systematically to support transparency and reproducibility. Each annex should be labelled sequentially in the order referenced within the main text, with a corresponding Table of Annexes provided. Materials should be grouped logically, with raw instruments preceding completed or coded outputs. Every annex must be clearly cross-referenced in the body text, and participant confidentiality must be protected in accordance with ethics approval. Consistent formatting ensures examiners can efficiently verify methodological procedures and data authenticity.
Indicators:
• Annexes are labelled sequentially (Annex A, B, C…) matching their order of appearance in the text,
• A Table of Annexes appears immediately after the Table of Contents,
• Raw instruments (surveys, interview protocols, consent forms) are grouped separately from completed outputs (transcripts, coded data),
• Each annex includes a clear title and brief contextual note,
• Every annex is explicitly cross-referenced in the body text (e.g., “see Annex C”),
• Identifying participant information is redacted in accordance with ethics approval, and
• Pagination and formatting remain consistent across all annexed materials.
Self-Check: Confirm annexes are labelled sequentially, matching their order of appearance in the text. Verify the Table of Annexes is present and accurate. Check that raw instruments and completed outputs are grouped separately. Ensure every annex is cross-referenced in-text, participant information is redacted per ethics approval, and pagination/formatting remain consistent throughout.
11. Academic use of AI tools in research
Criterion: Responsible and Methodologically Transparent Use of AI in Doctoral Research
The integration of artificial intelligence tools into doctoral research is increasingly essential for enhancing analytical rigour, efficiency, and scholarly productivity, provided such use remains transparent, ethical, and critically supervised.
Indicators of valid academic and professional use:
1. AI was used to support literature synthesis and identify thematic patterns, not to generate original arguments,
2. Language-editing tools improved clarity and grammar while preserving the author’s authentic voice and meaning,
3. AI-generated outputs were independently verified against primary and peer-reviewed sources,
4. Tools assisted with data organisation and preliminary coding, with final interpretation performed by the researcher,
5. All AI assistance was disclosed transparently in the methodology or acknowledgements section,
6. AI use complied with institutional academic integrity and authorship policies, and
7. Critical human judgement remained central to analysis, argumentation, and conclusions throughout the research process.
Self-Check: Confirm AI was used to support, not replace, original analysis and argumentation. Verify all AI-generated content was independently checked against credible sources. Ensure your authentic voice remains intact after language editing. Check that AI assistance is transparently disclosed in the methodology or acknowledgements. Confirm compliance with institutional policies and that human judgement, not AI, drove final interpretations and conclusions.
12. Ethical standards and academic integrity during completion of the PhD thesis
Criterion: Adherence to Ethical Standards and Academic Integrity in Doctoral Research
Completing ethical approval forms and upholding rigorous ethical standards is fundamental to responsible research practice. Ethical compliance protects participants, ensures data integrity, and safeguards the credibility of scholarly work, while vigilance against plagiarism preserves intellectual honesty and the trustworthiness of academic contributions.
Indicators of relevant and valid academic/professional use:
1. Ethical approval was obtained from the relevant institutional review board prior to data collection,
2. Informed consent procedures were clearly documented, ensuring participants understood risks, rights, and confidentiality,
3. Sensitive data were stored, anonymised, and handled in compliance with data protection regulations,
4. All sources were accurately cited using the required referencing style to avoid plagiarism,
5. Text-matching software was used to verify originality before submission,
6. Paraphrasing and quotations were properly attributed, distinguishing the researcher’s own ideas from others,
7. Potential conflicts of interest were disclosed transparently throughout the research process, and
8. Ethical considerations were revisited and updated whenever research design or methodology changed.
Together, these practices ensure that doctoral research upholds honesty, accountability, and respect for participants, forming the ethical foundation upon which credible and impactful scholarship is built.
Self-Check: Before submission, confirm ethical approval documentation is complete and current. Verify all citations and paraphrasing are properly attributed. Run text-matching software to check originality. Ensure informed consent and data protection protocols were followed. Reflect on any conflicts of interest and confirm ethical clearance still matches your final research design and methods.
Overall Coherence Audit
Before submission, trace each research question through the entire document as a single thread:
Research Question → Literature Review Gap → Instrument Item(s) → Analytic Procedure → Results Section → Conclusion
If any link in this chain is missing or unclear, that research question is not yet fully supported, regardless of how much material surrounds it. This “golden thread” test is the single most common criterion used by doctoral examiners internationally and is worth applying chapter by chapter well before the viva or final defence.
Self-Check Guidance: For each research question, trace the golden thread systematically: identify the corresponding literature review gap, locate the instrument item(s) designed to address it, confirm the analytic procedure applied, verify the results section reports relevant findings, and check the conclusion directly answers the question. If any link is missing, weak, or unclear, revisit that section before proceeding. Repeat this trace chapter by chapter, not only at final review, to catch gaps early. Ask: does every research question have visible, unbroken support from introduction through conclusion? If not, strengthen the missing link before submission or viva.
